Executive Office Administrator Position – Full Time / Part Time
We are in search of an energetic executive assistant for our busy real estate office. We are currently in search for a dynamo executive assistant who is extremely organized and can work in a fast pace environment. This is not your typical 9 – 5 office administrator position. This position wears many hats and will be the liaison between the owner, agents, attorneys, service providers and clients. Confidentiality, professionalism and discretion are mandatory. This position encompasses the responsibilities you would find in office management, client management, transaction coordination, property management, as well as first class personal assistance, event planning, marketing, database management, social media and travel booking.

~Bachelor’s Degree from an accredited university.
~Must be able to multi-task a variety of tasks and responsibilities with minimal supervision.
~Strong attention to detail.
~Must have good work ethic.
~Master of MS Office Applications — Outlook, Word, Power Point and Excel
~Create marketing flyers, postcards, mailers etc.
~Must be able to take dictation, compose well written emails, comfortable producing Excel spreadsheets, tracking critical deadlines, preparing presentations for meetings as needed, etc.
~Customer Service experience preferred
~Must be familiar with an ever changing calendar.
~Day to day office management skills required — mail sorting, faxing, filing,
Preference will be given to applicants with a background real estate, real estate office management, marketing.
~Smart phone savvy — must be able to work from your phone. I.E.: Composing and answering emails, arranging/cancelling travel accommodations, text messaging, etc.
~Proficient in Social Media Networking Platform Maintenance
~Compilation of Web Email campaigns, Craigslist
~Must be able to generate ad copy for print advertising.
~Proficient using computer, search engines.
Must be available on weekends to schedule showings and update calendar.
Additionally, experience in the following would be valued
- Photoshop and Indesign, for flyer creation, business cards, brocuhures and other marketing materials.
- WordPress for blogging
- RI and MA State Wide MLS
- DotLoop and DocuSign for real estate transaction management
- Understanding of SEO
